Market Vendor Information Package

Thank you for your interest in applying to vend at Bass Coast Festival.

Bass Coast takes place from July 12-15, 2024, in Merritt, BC on the traditional, ancestral and unceded territory of the Nlaka’pamux and Syilx people.

Bass Coast Festival is committed to creating an exciting and immersive experience for our attendees. This vision extends to our Market vendors. We encourage vendors to step away from single stall pop-up vending tents and create something unique and inspiring.

We are looking for:

  • Unique, quality items with market appeal for the Bass Coast Festival.
  • Creative and aesthetically attractive vending stalls
  • Merchandise that exhibits cultural awareness and embraces sustainability.

Consider the Market Vending Zone a village – design your storefront with walls, an entrance, window displays, faux flooring, hanging baskets, and seating. Lighting at night is MANDATORY – make yours unique.

Collaboration with another vendor is encouraged for a larger, more impactful stall. Shared staff and reduced fees can enhance your success at the festival.

Bass Coast is committed to fostering its safe and inclusive community. In order to do so, Bass Coast requires that its team, contributors, volunteers and attendees understand and agree to this Code of Conduct concerning all activities regarding the Festival.

Please take on the responsibility to do your own research and educate yourself on this issue. When choosing clothing for Bass Coast and anytime, ask the questions:

  1. Does this item and/or clothing hold traditional significance to a community or culture?
  2. Is the item and/or clothing intended to express religious beliefs or political statements?
  3. Does the item and/or clothing designate respect and or status within that culture?

If the answer is yes to any of the above (or if you don’t know), we ask you to reconsider wearing or selling it. Bass Coast’s harm reduction strategy includes a commitment to providing a culturally safe environment for the whole community. A culture of mutual respect is a fundamental part of the Bass Coast experience. Even if you think your specific use of a culturally significant piece of clothing is respectful, other community members may find it insensitive or upsetting. We ask that you avoid selling or wearing these items at Bass Coast to maintain a welcoming and comfortable environment for all festival attendees.

The Vendor Village is located in a shaded forest in a high-traffic area between two stages.

Prepare for all weather. We may experience extreme heat, torrential rain, severe thunderstorms or high winds. It’s your responsibility to ensure your goods and tent are secured and prepared for all elements.

Early Entry staff may camp in your vendor plot. You may not extend camping beyond your allocated area. Small stalls are not guaranteed camping behind their stall and must be prepared to camp in General Admission camping.

Each stall will receive one Vendor Lot parking pass (a 5-minute walk to the vending area) and one Forest Parking pass for parking directly behind your stall. The forest parking pass has no ins and outs from 8 AM Thursday, July 11th – 9 AM Monday, July 15th. Small stalls cannot park behind their stall and will be issued two Vendor Lot passes.

Market vendors may enter the festival site from 9 AM - 10 PM on Wednesday, July 10th. If you arrive after 10 PM, you will be processed the following morning. No exceptions.
Market vendors must be off-site by 6 PM, Monday, July 15th. Late departures will not get their LNT deposit back.

Bass Coast has a professional security team on-site with a comprehensive security plan. Security will be patrolling all areas 24 hours/day. Unfortunately, theft is a reality at most festivals, so please secure your valuables on-site. We require that stalls have front lighting that is kept on all night, even if the stall is not open, to create a safe and secure area.

Store hours are flexible, but we expect you to be open a minimum of 8 hours a day. Stores must be ready to open by 10 AM, Friday, July 12, 2024.

Vendors may not include any third-party advertising signage. All vendors will be requested to remove any third-party logos or signs upon setting up at Bass Coast Festival.

Bass Coast will provide one box per stall with one standard 3-prong (20amp) power outlet. The Vendor must bring labelled extension cords if required; Bass Coast Festival cannot provide extension cords.  Please let Bass Coast management know by May 1 if additional power is required. Additional charges may apply.

You are responsible for recycling all packaging from your goods at our recycling depot on-site. A $200 Leave No Trace (LNT) deposit is required to ensure your waste is properly sorted and the site is left spotless. Your LNT deposit will be returned on Monday, July 15th, after your vending area has been inspected and approved.

There are no glass bottles permitted on site. If you sell glass products, please make a note in your application. Please reference our FAQ for other products that are not allowed on the Bass Coast site

Be it due to legalities, liabilities, or intellectual properties, some items are off-limits for Market vendors to sell. These items include (but are not limited to) food & beverage, cigarettes, most glassware (to be considered on an individual basis), drugs, alcohol, weapons of any kind, earplugs, glitter, or anything with “Bass Coast” or affiliated logos. Don't hesitate to ask if you are unsure whether one of your products is off-limits or not.

Bass Coast Festival will continue to operate in accordance with provincial and local health guidelines and recommendations. The government of British Columbia’s current response to the ongoing COVID-19 pandemic can be viewed here.
