Bass Coast Festival is hiring an Onsite Office Manager.

Bass Coast Festival is a thoughtfully curated boutique music and art festival that takes place in the picturesque shared traditional territories of the Nłeʔkepmx and Syilx. Moving into its 15th year, Bass Coast has garnered a global reputation for showcasing innovative international talent and providing a springboard for Canadian artists.
OVERVIEW OF ROLE
The Onsite Office Manager is responsible for overseeing administrative duties in the office, and ensuring that the office operates efficiently and smoothly.
This position plays a vital role in the day-to-day operations and while Bass Coast Festival is in showtime production. Responsible for issuing, controlling, and recording payment methods and amounts for onsite expenses. The Onsite Office Manager will maintain accurate records of dispersed keys for hospitality cabins, storage areas, offices, and small motorized vehicles. Additional duties will include greeting guests and assisting staff, volunteers, VIPs, Security, and suppliers.
The successful candidate must be available to be on the festival site from June 25 - July 14, 2023.
RESPONSIBILITIES AND DUTIES
- Set up printing office and keep supplies ready.
- Assignment of keys to cabins, storage areas, offices.
- Assignment of keys for golf carts, trailers, trucks, cars.
- Assist with any printing requests for all departments.
- Control use of Credit Cards and record usage.
- Issue Petty Cash and record all receipts.
- Issue and control of radios and charging stations.
- Knowledge of all managers and staff and communication channels.
- Festival site knowledge and map location familiarity.
- If requested, assist with staff gate control systems for accreditation.
- If requested, assist with finance office needs.
- Greet and assist guests, staff, volunteers, VIPs, security and suppliers.
- Participate in meetings when needed.
- Other administrative duties as required.
QUALIFICATIONS AND SKILLS
- A post secondary degree/certification in office administration.
- 3 years minimum experience in office administration.
- Experience in the music industry is an asset but not required.
- A solid understanding of office administration procedures including data entry, communication protocol, de-escalation skills, and outstanding customer service.
- Strong multi tasking skills.
- Practical experience with spreadsheets (Google Sheets).
- Excellent written and verbal communication skills.
- High level of critical thinking and strong problem-solving skills.
- Willingness and curiosity to learn.
- Enjoys organizing, establishing and managing priorities with a sense of urgency.
- Self-motivated and willing to work alone or collaboratively with fellow colleagues.
- Capable of working in a constantly evolving environment.
- Passion for the high-pressure and fast-paced environment of festival production.
- Experience working or attending festivals and/or events is an asset.
- Must be legally eligible to work unrestricted in Canada.
HOURS AND COMPENSATION
Contract Duration:
June 25 - July 14, 2023: On the festival site.
Bass Coast offers an innovative, flexible and creative work environment. All Bass Coast employees work remotely during pre-show and post-show and are required to have their own computer, and workspace (whether at home or elsewhere). The successful candidate will be able to work both independently and work remotely via zoom with team members. In-person meetings may be required. The successful candidate must be eligible to work in Canada.
