Production Office Assistant

Bass Coast Festival is hiring an Production Office Assistant.

OVERVIEW OF ROLE
Bass Coast Festival is seeking a Production Office Assistant. This position is ideal for individuals with a strong interest in event operations, administration, marketing, and research. By joining our team, you will have the opportunity to learn day-to-day pre-show operations and gain hands-on experience in the event industry.

The successful candidate must be available to be on the festival site from July 2 - July 17, and available for minimal pre-show and post-show hours (see details below).

ABOUT BASS COAST
Bass Coast is a thoughtfully curated boutique electronic music and art festival held in Merritt, BC on the traditional, ancestral and unceded territory of the Nlaka’pamux and Syilx people.


Moving into its 16th year, Bass Coast is an independent & artist owned festival with accolades that include two consecutive wins of DJ Mag’s ‘Best Boutique Festival in North America’, 'Best Midsize Festival in Canada' by Canada Music Awards, and 'Best Music Festival in Vancouver' runner-up by the Georgia Straight Vancouver.

RESPONSIBILITIES AND DUTIES

  • Provide essential support to the Production Office team.
  • Assist in coordinating pre-show logistics for rentals, supplies, and all materials.
  • Support the management of schedules, appointments, and logistical details.
  • Facilitate communication and coordination with various stakeholders, including the Marketing Department, Suppliers, etc.
  • Maintain and implement improvements for databases and streamlined workflows.
  • Perform administrative duties such as data entry, file management, and correspondence.
  • Contribute to the overall efficiency of the Production Office using proactive problem-solving.
  • Assist with logistics for camping and parking.
  • Participate in “online” and “in-person” meetings with the Production Manager and Production Manager Assistant. 
  • Organize meetings, take notes and follow up on information as necessary.
  • Handle any ad-hoc tasks or challenges that arise, showing problem-solving skills and flexibility.


QUALIFICATIONS AND SKILLS

  • Ability to work independently and collaboratively
  • Strong interest in event and hospitality support expertise
  • Strong interpersonal and team skills
  • Exceptional organizational precision
  • Excellent command of (written) English, including copywriting and editing skills
  • Background or strong interest in event production and logistics
  • Enjoys working with spreadsheets
  • Ability to work independently and with a team
  • Interest in applying marketing and research skills to enhance event production
  • Adaptable in dynamic environments
  • Experience working in events and festivals is an asset


HOURS AND COMPENSATION

Contract Duration:
Remote pre-show and post-show work: June 3 - July 1; July 25 - Aug 15, 2024.
10 hours / week

On the festival site in Merritt BC: July 2 - July 17, 2024.

Compensation:
Flat rate contract: $20.00/hour

Bass Coast offers an innovative, flexible and creative work environment. All Bass Coast employees work remotely and are required to have their own computer, printer, file storage and workspace (whether at home or elsewhere). The successful candidate will be able to work both independently and work remotely via zoom with team members. In-person meetings may be required.

Bass Coast team members are required to provide their own camping equipment while working on-site. Bass Coast provides meals on working days and access to amenities.

Eligibility:

Bass Coast Festival is a 19+ event. Applicants must be 19 years of age or older and be a Canadian citizen, permanent resident, or be legally entitled to work in Canada in accordance with relevant provincial legislation and regulations.
